Switch to reusables without a capital business case

The biggest barrier to switching from disposables has never been the running cost. It is finding the capital to buy the kit in the first place, in the same year that the disposable spend is already budgeted. Leasing removes that problem.

Your full kit is delivered from day one. A finance provider pays for it, and your trust or hospital pays a fixed monthly charge over 36 months, in the same way as any equipment agreement. The disposable spend it replaces stops immediately, so the change is usually cost positive from the first month.

Tell us your staff numbers and departments. We work out the hats, badges and storage you need, or you can model it yourself in the savings calculator.

Approve the figures

We confirm your monthly cost and the disposable spend it replaces, so your business case is a like-for-like comparison rather than a capital request.

Finance agreement

Our finance partner documents the agreement with your organisation. They pay for the kit, so nothing is paid upfront by your department.

Delivery and rollout

Your full kit is delivered, storage is set up in each department, and we support the rollout with guidance, posters and laundry liaison.

Three worked examples, based on five hats per staff member, name and role badges for staff plus 20% for students, temporary staff and visitors, and badge hats with detachable badges. Disposable costs assume three caps per person per day at 6p, plus NHS offensive waste disposal. All figures exclude VAT.

Storage

Somewhere for the hats to live

Reusable headwear only works when there is an obvious place to collect a clean hat and return a used one. Our storage units give each department exactly that, and can be included in the same monthly agreement.

  • One unit per department. Main Theatres, Maternity and Eye Theatres, for example, would need three units.
  • Clean hats and badges on top, used hats below, so the clean and used flow is clear to everyone at a glance.
  • Mobile, wipeable and theatre ready, designed to sit in changing areas alongside your existing scrub storage.
  • Included in the lease, so there is no separate capital purchase to arrange.

Why the detachable badge system suits leasing

A lease works when the funded assets stay in the organisation and keep their value. That is exactly how the Eco Ninjas system is designed to run, and it is where personalised embroidered caps fall down.

The hats stay in the system

Hats are centrally stored, collected, laundered and redistributed, in the same way as scrub suits. They stay within the hospital's control and keep their value across the term.

Staff turnover costs pennies

When someone leaves, they hand back a badge and the hat stays in circulation. A replacement badge for the next member of staff costs a fraction of a new cap.

Names and roles change, hats don't

Name changes, promotions, rotations and new job titles need a new badge only. With embroidery, every change means manufacturing another cap.

Students, visitors and bank staff

Anyone without their own cap can use a generic hat with a writeable badge, so these groups no longer fall back on disposables.

Predictable for the funder

Known quantities, central management and low-cost badge replacement make the asset base easy to forecast. Personalised caps disperse among individuals and are far harder to account for.

Circular by design

Hats are reused by many people over their life, with badges updated as teams change. That extends the life of every item and cuts waste.

Leasing, answered

Is there really nothing to pay upfront?
Correct. The finance provider pays for the kit and your first payment is the monthly charge. There is no deposit and no capital purchase to approve.
Who provides the finance, and is it compliant?
The solution is funded on a monthly payment programme through an approved and compliant provider on the NHS Supply Chain (NHSSC) Finance Solutions framework, so your procurement team can award directly rather than running a separate tender. The approved supplier list is published by NHS Supply Chain and can be checked here.
What is included in the monthly cost?
Your reusable hats, name and role badges and, if you choose, storage units for each department. Laundering is arranged through your existing provider and charged separately, as it is for scrubs.
How long is the agreement?
36 months, with a fixed monthly charge throughout. We will confirm the end-of-term options with you in writing before anything is signed.
What happens when staff leave or change role?
The hat stays in circulation and only the badge changes. Badges are inexpensive and can be reordered at any time, so a rotating workforce does not drive up your costs.
Can we add more hats later?
Yes. Additional hats, badges and storage can be added at any point, either on your account or by extending the agreement. Just tell us what you need.
Can we buy outright instead?
